Purpose of Document:
To define the appropriate decommissioning methods for Seminary-owned technology to ensure that sensitive and/or confidential data and Seminary-licensed software are properly removed.
Scope:
This procedure applies to all Seminary-owned devices, including but not limited to, computers, servers, printers, mobile devices, external storage devices, etc.
Procedure:
Technology Decommissioning
All Seminary-owned technology must be returned to LITS prior to decommissioning. LITS is responsible for erasing all information resources on hard drives and removable media before removal from the Seminary.
Electronic data must be erased or disposed of in a manner that makes it fully unrecoverable and is consistent with industry standards.
Sale of Decommissioned Devices
At the sole discretion of LITS and subject to the needs of the Seminary, decommissioned and sanitized devices may be offered for sale under the following conditions:
- Upon receipt of a new Seminary-owned computer, seminary employees may request to purchase their old computer at a reduced price, typically 50% of the going rate (to be determined by LITS) for an equivalent device. Requests will be granted at the sole discretion of LITS and will take into account both the seminary’s current needs and the employee’s length of employment. Computers will be erased, reformatted, and loaded with a free Linux operating system or decommissioned copy of Windows or Mac licenses, if available.
- LITS may periodically conduct a public sale of excess decommissioned technology. The timing of such a sale and the pricing of items will be at LITS’s sole discretion.
